Payroll Software Compared
Features, service tiers, and what growing employers should demand.
Compare providers →Most payroll penalties aren't math errors — they're software setup errors. These five are the ones we see over and over.
1. Buying the DIY tier when you need full service. Self-service plans calculate — you file and deposit. Miss one EFTPS deposit and the 2–15% penalty dwarfs a year of upgrade fees. If deposits aren't automatic, the software isn't protecting you.
2. Assuming multi-state is included. One remote hire in another state means new withholding registration, a new SUI account, and new filings. Entry tiers often exclude this or charge per state — confirm before you hire, not after (check the state guides).
3. Skipping the tax-accuracy guarantee. Leading full-service providers cover penalties caused by their errors. It's only on filing-included plans and only with accurate, on-time inputs — read that clause before you need it.
4. Never updating the wage base and thresholds. The Social Security cap ($176,100) resets every January. Good software updates automatically; spreadsheets and stale setups don't. Audit your first January run against the payroll calculator.
5. Staying with outgrown software. The tool that worked for 3 local employees breaks at 15 across two states. Re-shop yearly — compare providers here — because switching mid-year is far cheaper than a penalty year.
